Bodman Memorial Library Annual Meeting Minutes

January 8, 2026

Meeting called to order at 7:00 PM

Roll call: Lynn May, Carol Weaver, Sheila Callahan, Liz Culbertson, Deb LaMora, Tracy Tanner

Approval of December minutes

Motion to approve the minutes for December 18, 2025, made by Sheila Callahan; seconded by Liz Culbertson.

Treasurer’s Report

Carol talked about YTD budget for 2025 and said we are starting the year off good with more money in the savings account than in prior years. We were under budget for books, equipment/furniture purchases, office supplies, and building maintenance. Tracy explained that those funds will be used in 2026 to make up for it.

A draft for the 2026 annual budget was given at the board meeting in December and a last version at tonight’s meeting. Total revenue is outlined assuming the proposition passes on the school ballot in May for $93,532. Expenses were outlined using leftover funds from 2025 in the book budget due to the delay in receiving orders placed in November 2025 from Ingram to equal $96,277.

A motion to accept the 2026 annual budget was made by Deb LaMora; seconded by Sheila Callahan. All in favor.

Director’s report

There are upcoming town and village board meetings. Tracy and Carol attend the town meeting in person every year to give an annual report on the library and say thank you for funding us. Tracy is working on compiling data and information to give at their February/March meetings.

A newsletter for Philly is planned for January. This will outline the budget for town and village residents and hopefully help with understanding why the library is asking for an additional $5,000 this year. Tracy feels it is important to be transparent with the budget and said she is comfortable discussing any questions or concerns that people may have regarding the library’s budget.

The library will schedule a book recycling event with NCLS this spring.

Park passes that the FOL donated money for will be purchased early in 2026 to include a splash pass to Oswego’s indoor water park, Clayton’s Antique Boat Museum, and a NYS Park Pass; Tracy is working on making a new wish list for the friends of the library.

Old Business.

A copy of the bylaws with the latest changes was accepted and reviewed.

A motion to accept the bylaws with Article three, No. Three (as follows)

Article III. Officers

3. A nominating committee shall be appointed by the president three months prior to the annual meeting to designate a slate of officers at the annual meeting. Additional nominations may be made from the floor. The vote for officers shall be by written secret ballot if two or more trustees have been nominated for one office.

removed was made by Deb LaMora; seconded by Carol Weaver. All in favor

Tracy asked if the board wanted to move forward with a NYS construction grant for 2026 and the consensus was yes, to pursue an addition.

New Business.

The current trustee terms and positions are Lynn May, president; Carol Weaver, treasurer; vice president, vacant; secretary, vacant. Deb LaMora and Adaime Hamed are starting a new five-year term (January 2026) and there was confusion on term expiration dates among the group. Tracy encouraged everyone to refer to the trustee section of the annual report that gets emailed to them every year. Deb LaMora volunteered to take position as vice president and secretary remains vacant; Tracy will continue doing the minutes until the position is filled.

A nomination to keep the same slate of officers was made by Liz Culbertson; seconded by Deb LaMora.

Board meeting dates for 2026 are March 19, June 18, September 17, December 17.

Lynn wants to publish these dates in the newsletter also.

A motion to accept the board meeting dates of 2026 made by Sheila Callahan; seconded by Liz Culbertson. All in favor.

Proposed closed days for 2026 are July 3, November 27, December 24.

A motion to approve the proposed closed dates for 2026 was made by Liz Culbertson; seconded Deb LaMora.

Announcements.

Carol took the paperwork to the accountants for taxes.

Sheila Callahan made a motion to adjourn the annual meeting at 7:30 pm.
